In today’s digital age, it seems we’ve simply transferred the clutter that used to live on our physical desktops to our computer desktops, creating digital chaos. If you’re feeling overwhelmed by a flood of downloads and struggling to locate files on your computer, you’re not alone!
The quick and easy habits I’m sharing below have truly made a difference in keeping my digital space organized and functioning smoothly. For me, it’s more than just having organized computer files and folders – it’s about knowing that I can access whatever I need quickly and easily!
DESKTOP FILE CLEAN UP
Think of your computer desktop as your workspace. Ideally, it’s the place where you go to work on current projects with the items you are actively working on that day/week. It shouldn’t be a storage space or a place where you are simply dumping files and folders, because when your desktop gets overwhelmed with files and folders, it’s hard to find anything.
If the documents, screenshots and files you have saved on your desktop are no longer needed for what you are currently working on, take a few minutes at the end of each day (or week) to either drag and drop items to the proper folder on your computer for future use, or send them to the recycle bin to be deleted.
Shortcut Idea (Beware!)
If you currently have way too many files and folders on your desktop and you can’t get them all filed away in one sitting, create a “Filing To Do” folder, and move the items that need to be filed into that folder temporarily.
Keep in mind that you do have to eventually deal with these unfiled items, otherwise you’re simply shifting the clutter from one space to another. So set aside a little time every week to go through this folder.
FILE NAMING CONVENTIONS
Implementing a file naming convention for your files can save you from future headaches that come from not being able to locate a specific file you are looking for. Simply taking a few seconds to name your files thoughtfully will make it so much easier to search (and find!) specific files down the road. File names should include key details such as a date, project name, if applicable, and a brief description of the contents.
I recommend using a 2-digit Year, 2-digit Month, and 2-digit Day format such as: 240401_Sales_Meeting_Notes. By always starting with the date, you’ll be able to easily organize files in chronological order, and you’ll be able to tell which document is the most recent, if you have multiple versions of the same document.
MANAGE YOUR DOWNLOADS FOLDER
The Downloads folder very often can become a dumping ground for files that can easily pile up and eat up storage space. Just like your desktop, spend just a few minutes every week reviewing and cleaning out this folder – delete the files that are no longer needed and rename/file the ones you need/want to save for future reference.
BOOKMARKS
Another area that tends to get out of control are your bookmarks. These are the personal shortcuts in your browser that you’ve saved to websites or links you visit often. Be sure to go through them from time to time and remove any bookmarks you no longer need or want. WEEKLY TECH TIME
Without a doubt, the biggest tip I can leave you with is to set aside some “Tech Time” each week to clean up your digital clutter. Set this up as a recurring event on your calendar to remind you to get rid of anything unnecessary.
Take this time to tidy up your desktop, sort through your downloads, organize your bookmarks, and even tackle some of the older items in your “Filing To Do” folder. With each small step, you’ll gradually clear away digital clutter.
